A. SECURITY DEPOSIT, PAYMENT, CHANGES, CANCELLATIONS AND REGULATIONS

PAYMENT POLICY:

A payment of 50% of your total rent, including room taxes and other fees, is due when you book your reservation with CBPM. The balance of the rent, room taxes, and fees are due 60 days before the first night of your reservation. Your reservation is not confirmed until payment is received and a completed signed Rental Agreement is received in our office. CBPM will automatically charge your  final balance due on the credit card on file. Reservations made 60 days or less prior to your arrival date require full payment when you make the reservation. Credit card payments must be charged on one Visa or MasterCard (not split among several cards), and the card must be in your name, or in the name of another guest who will be staying with you at the rental property. You may change the name and credit card on a booking, for which the fee is $25.00. CBPM charges a fee of $35.00 for all returned checks. All payments are nonrefundable except as described in the paragraph headed "Cancellations." CBPM will only confirm reservations requested 1 Year in advance of requested stay.

RATES:

Our posted rates are subject to change. All rates and fees are subject to all applicable taxes including City of Cannon Beach,Clatsop County  and State of Oregon collected prior to arrival.

REFUNDABLE SECURITY DEPOSITS:

Some of our rentals require a security deposit. After checkout, CBPM will inspect the vacation rental for damage and take inventory of the supplies and equipment. If the vacation rental is damaged or if any of the supplies or equipment at the vacation rental are missing or damaged, then CBPM will deduct an appropriate amount from the security deposit. CBPM will refund the unused portion of the security deposit to you, using the same form of payment that you used to make the deposit.

ADJUSTMENTS:

CBPM does not adjust the rent for acts of God, failures or events beyond CBPM's direct control. This includes, but is not limited to, inclement weather, construction from nearby sites, power outages, water or plumbing system breakdowns, TV cable or satellite blackouts, pest infestations, guest emergencies, and/or appliance malfunctions. CBPM will not be able to provide adjustments or refunds for mechanical failure of any appliances or amenities and should not be expected. CBPM cannot predict construction plans in the area. You may reserve a property without construction nearby, but it can start prior to your arrival. We will not be able to provide construction status and apologize that CBPM will not be able to provide refunds or relocation due to this. 

RESERVATION CHANGES:

Any/all reservations that need date changes are subject to to a non-refundable  $50.00 re-scheduling fee per change, if CBPM due to regulations or policies will allow. All changes must be done at least 60 days before the first night of your reservation.

CANCELLATIONS:

CBPM understands that situations can occur that may cause you to cancel your reservation. If you need to cancel your reservation you must notify CBPM in writing by letter, fax or email. We do not accept notices of cancellation by telephone. At time of cancellation any monies owed to CBPM are immediately due and payable.

REGULATIONS: 

Online reservation requests may be subject to the City of Cannon Beach regulations and CBPM policies and require CBPM to deny requested dates or move dates to adhere to City Of Cannon Beach set regulations and to adhere to CBPM policies.


B.   CHECK-IN AND CHECKOUT

CHECK-IN:  Check-in information will be emailed to you the day prior to your arrival. Driving directions, property address, and access code will be provided in this email.  Check-ins are NOT available until your property has been cleaned, and housekeeping has checked out with the office.  This is usually in the late afternoon. Your access code will be valid at 4PM, if your propery is ready prior to 4PM, you will recieve an email letting you know your code is active prior to 4PM.

Our office closes at 4:00PM during the Summer.


CHECK-OUT: Please follow all check out instructions, and use the departure code provide for the Point Central system.  Check out time is 11:00am and is strictly enforced to prepare your property for the next guest(s) arrival. Late check-outs will be charged for an additional night with applicable taxes.

C. USE OF THE PROPERTY; REGULATIONS AND RESTRICTIONS

OCCUPANCY:

The maximum occupancy is enforced as set by the City of Cannon Beach. You may not allow more persons than this maximum to be on the property at any time whether as daytime visitors or as overnight guests. All of our properties are located in residential neighborhoods and may not be used for weddings, wedding receptions, parties or any other large group gatherings. To comply with licensing requirements, CBPM reserves the right to terminate your rental agreement at once if you exceed this maximum occupancy limit or if you allow a wedding, wedding reception, party, or other large group gathering to occur at the property. If CBPM terminates your rental agreement for this reason, you will have to vacate the property at once and you will not receive a refund of any of your rent and other fees.

PARKING:

Each vacation rental home has posted desginated parking areas and maximum number of vehicles allowed at each property. All vehicles are required to be registered at our office at check-in. All unauthorized or unregistered vehicles may be towed at owner's expense. RV'S, campers, or trailers may not be parked at any time at any vacation rental home. Tents are not permitted at any time.

PET POLICY:

We allow family dogs in desginated homes only, at a charge of $65.00 per stay plus tax. Please clean up after your pet-this includes cleaning up any "calling cards" that your pet leaves in the yard. CBPM will charge a yard cleaning fee of $35.00 if we have to clean what your pet leaves in the yard. The Owners and CBPM ask that you do not leave your pet unattended at any time on or in the property alone. Dogs are never allowed on the furniture. Dog Owners will be charged for extra clean up after your dogs if needed.

SMOKING:

NO smoking is allowed at any of our vacation rental properties. If you smoke inside the vacation rental, CBPM, Inc. will charge you to remove the smell. Please pick up after smokers outside-leave decks and yards clean and ready for the next guest.

REGULATIONS:

Failure to comply with State, county, or city regulations on occupancy limits, parking, and/or loud or inappropriate behavior may result in CBPM immediately terminating your rental. If CBPM terminates your rental for this reason, you will have to vacate the property at once and you will not receive a refund of any of your rent and other fees. You will also be responsible to CBPM and the property owner for any fines, penalties, and other damages incurred by reason of the failure to comply with applicable regulations.

PHONE:

You are responsible for the cost of all long distance calls placed from the house during your stay. Please place your long distance calls on a telephone calling card, or use your cell phone. Also any purchases made from a TV/cable company, during your dates will be due and payable. 

D. UNAVAILABILITY OF UNIT

Should the unit become unavailable prior to your occupancy due to circumstances beyond the control of CBPM, we will either substitute a comparable accommodation or offer a refund at our discretion.

E. TRAVEL INSURANCE

Due to unforeseen circumstances such as, illness, injuries, mandatory evacuation and even job loss, Trip Cancellation Insurance is offered to protect your vacation investment (as described in the policy ). The insurance premium is due with your advance rent payment and coverage begins with receipt of your payment. Once the insurance premium is paid, it is non-refundable. If you elect NOT to purchase the travel insurance, you must decline by initialing the appropriate space on the Vacation Rental Agreement. Failure to initial to decline travel insurance, indicates intent to purchase.

If you did purchase the Red Sky Travel Insurance and your reason for cancelling is covered by Vacation Rental Insurance, then you forfeit the payments you have made and you keep any amounts that Red Sky Travel Insurance pays you under the insurance policy. 

If you did not purchase the Red Sky Travel  Insurance to cover your reservation, or if you purchased the insurance but Red Sky Travel Insurance does not cover your cancellation, then (a) if we can re-rent the property for any of the nights that you reserved, we will return your payment for the nights that we were able to re-rent, minus a cancellation fee of $150.00 or (b) if we do not re-rent the property for any of your reserved nights, then you forfeit the payments you have made. F. CLEANING; LOCKOUTS; LOST AND FOUND

MAINTENANCE:

CBPM homes are maintained in the best possible operating condition, and if a malfunction should occur during your stay, we will make every effort to repair the malfunction. In the event that maintenance is scheduled during your stay, we will notify you as soon as possible.

CLEANING:

Your vacation rental will be cleaned prior to your check-in. A starter supply of toilet tissue, soaps and paper towels will be included. No items from the vacation rental home, including, but not limited to, firewood, furniture, and towels, may be taken to the beach at any time. After you depart, CBPM will check the property for damage and take inventory. If items from the property are damaged, broken, or missing, you authorize CBPM to repair or replace the damaged, broken, or missing items and to charge the expense to your credit card on file.

LOCKOUT POLICY:

If you are locked out of your vacation rental, you may borrow a key from our office during regular business hours, for which there is no charge-but return the key once you have reentered your rental. For your security, we may refuse to provide a key to a person who is not listed on the rental agreement unless you give us permission. After business hours and until 11:00 p.m., call our emergency phone (503) 440-5909, and an agent will meet you at the office. The fee for an after hours key is $25.00. If you request help and a locksmith is required (from 11p.m., until the office reopens, a locksmith will be required), then you will also be responsible for the locksmith's charge.

LOST AND FOUND:

Please check carefully for items before you depart. We are not responsible for lost or stolen items. If you request us to mail back items left behind we will need to send these COD and a $35.00 packaging fee.


G. RELEASE FROM LIABILITY

RELEASE FROM LIABILITY:

By renting from CBPM, you agree to defend, indemnify, and hold harmless CBPM, its employees and agents, and the property owners from all claims and liability related to death, personal injury, property damage, and loss of enjoyment of yourself and any occupant of the property, regardless of the cause, including but not limited to power outages, rain, sun, flood, fire, and/or theft, including failure of appliances and/or equipment. CBPM's sole responsibility will be to attempt to correct the problem as soon as practical, or to move you and your family to the most comparable available accommodations, providing that you notify CBPM immediately upon arrival or at the time of failure or other occurrence.

H. ELECTRONIC SIGNATURES

ELECTRONIC SIGNING:

You and CBPM may sign an agreement with electronic signatures (such as DocuSign), or signatures sent by facsimile or electronic transmission, which will be binding as if hand-signed with original signatures.


  


I. MINIMUM NIGHT STAY REQUIREMENTS:

 


Each CBPM season and City of Cannon Beach regulations require certain minimum night stays and arrival and departure dates. Some of our inventory of properties require a 14 night stay per guest per stay. This does not require the entire 14 nights to be booked, but one guest stay booked during the 14 day period only. The remaining nights during the 14 day period not booked will need to be blocked out. CBPM policies for booking are below:



Summer=some properties require a 14 night minimum stay.


Holidays=some properties require a one week minimum stay and others 3-4 nights. 



**Outdoor furniture and BBQ's are only available for guest use from Memorial Day to Labor Day.This is due to inclement weather conditions we experience here on the coast. Thank you for your understanding.
